1. Purpose
To outline the responsible use, storage, and sharing of training-related recordings, ensuring ethical practice, confidentiality, and compliance with data protection laws.
2. Scope
This policy applies to all students, tutors, and staff involved in training activities where recordings are used, including roleplays, assessments, and supervision.
3. What Is Recorded and Why
- Roleplay sessions conducted during live training (in person or online) may be recorded, with prior notice.
- Recordings are used to:
- Provide formative or summative feedback from tutors
- Support trainee self-reflection
- Contribute to portfolio submissions where appropriate
- Support internal moderation and quality assurance
4. Informed Consent
- All students are informed before any recording takes place.
- Participation in recorded roleplays is voluntary. Alternatives will be discussed with any student who does not wish to be recorded.
- Students may withdraw consent at any time prior to the recording being used.
5. Data Storage & Retention
- Recordings will be stored securely and accessible only to relevant Redlands staff.
- Recordings are retained only for as long as necessary for feedback, assessment, and verification purposes. They will be deleted after 2 years unless otherwise agreed.
- Students have the right to access their recordings and request deletion (subject to academic requirements and regulatory standards).
6. Confidentiality & Respect
- All trainees are expected to uphold confidentiality around the content and context of recorded roleplays.
- Recordings must not be shared outside of the training environment or downloaded for personal use unless explicitly authorised by Redlands in writing.
7. Third-Party Appearances
- If any roleplay involves individuals not enrolled on the course (e.g. invited actors or guest speakers), they must also give consent before being recorded.
- Tutors and assessors are bound by the same confidentiality and data protection responsibilities as students.
8. Breaches
- Any unauthorised use, distribution, or misuse of recordings will be considered a breach of the Code of Conduct and may result in disciplinary action.
9. Concerns
- If you have any concerns about the use of recordings in your training, please speak with your tutor. We are committed to upholding your rights and maintaining a safe, respectful learning space for all.
10. Review & Updates
This policy will be reviewed annually to ensure it remains aligned with current legislation, ethical standards, and best practice.
